Objective
Our client wanted to recognize and celebrate their high-performing C-suite executives, senior managers and VIPs with a multi-day, immersive incentive experience. Their goal was to bring everyone together, including spouses, to spend time connecting and revitalizing in an inspirational environment.
Challenges
- Design a multi-day incentive program with organized optional activities balanced with ample free time for guests to experience Banff on their own terms
- Guest attendance increased by 50 people however the overall budget remained the same
- Design several unique and intimate VIP dinners and experiences that the executive team could all participate in together
- The ski lodge, the only off-site venue large enough to accommodate the group, underwhelmed our client during their site visit as “nothing special, it’s just a ski lodge”
- The ski lodge was not large enough to accommodate our client’s wish of a buffet dinner with full seating for all guests
Strategy
- Embracing the Rocky Mountain’s wild beauty, we designed a program to maximize guests’ quality time with their spouses. Guests could select one optional activity over two days, giving everyone abundant time to explore Banff at their own pace.
- Weaving the historical significance and elegance of train travel in the Rockies through the program starting with vintage train and luggage-themed decor for the Welcome Reception
- The vintage train excursion from Banff to Lake Louise was the highlight of the VIP program. Split into two groups, each enjoyed the vintage train ride, a private lunch in Lake Louise, and a scenic motorcoach journey.
- Splitting the VIP group in two accomplished several key items: costs were kept down by using the same train and motorcoach in both directions, executives spent quality time with all VIPs and an additional leisure day was gained.
- We overcame the client’s concerns by leaning into an elevated Canadian lodge experience. Walk-around themed food stations, multiple indoor and outdoor seating areas, including a fire pit for roasting S’mores, created an engaging vibe that was perfect for socializing and having fun.
Award Winning Results
Feedback and high survey results from guests were exceptional. They felt it was the perfect balance of experiencing the best of Banff while enjoying time together with their spouses. Our client was delighted at our ability to creatively respond to the change of group size and budget scope. The ultimate reward was being recognized as “DMC Partner of the Year” by our client!
